ToolPlex in the Philippines

Connect your data, improve decisions, and replace manual work.

ToolPlex builds and runs systems for Philippine enterprises. We connect existing data and software, then build what is needed: integrations, automation, forecasting, machine learning, AI, or a combination.

ToolPlex is already running in Philippine operations across retail, distribution, and consumer goods.

Why the Philippines

Established Philippine companies do not usually lack software. The problem is what happens between their systems.

The Philippines is ToolPlex’s first market and current commercial focus. Many established companies already run ERP, POS, inventory, accounting, loyalty, and reporting systems. Important work still happens between them—through spreadsheets, distributor submissions, email, messaging threads, and processes known by only a few experienced employees.

The Philippine digital economy reached ₱2.25 trillion in 2024, or 8.5% of GDP. More digital activity creates more useful data, but it does not automatically make company operations easier. Philippine Statistics Authority →

National operations are complicated

Branches, warehouses, suppliers, distributors, and customers operate across islands and regions. Planning stock and maintaining a current view of the business becomes harder as the network grows.

Core systems cover only part of the process

An ERP may hold the transactions while planning, reconciliation, approvals, and management reporting still depend on exports and spreadsheets.

Demand changes with the Philippine calendar

Paydays, Christmas, Holy Week, school calendars, weather, import lead times, and regional differences affect what companies need to buy, produce, and stock.

AI is only one part of the answer

A company may need a reporting database, reconciliation pipeline, forecasting model, approval workflow, or ordinary software. ToolPlex uses the right combination and keeps it running.

Common problems

Existing systems still leave plenty of manual work.

ERP, accounting, inventory, and reporting tools may all be in place, yet staff still move files and re-enter data between them. ToolPlex connects those systems and records the business rules that people currently have to remember.

Purchasing still depends on averages and judgment

The ERP contains the transactions, but buyers still rely on Excel, simple averages, and the experience of a few senior people.

Demand and inventory planning

Distributor and branch data arrive in different formats

Teams spend weeks collecting files, matching customers, correcting categories, and rebuilding a report that must be repeated next month.

Data reconciliation and reporting

Customer history is used for reporting, not action

Transaction and loyalty data exists, but teams still struggle to identify valuable customers, weakening relationships, and useful audiences.

Customer intelligence

Staff re-enter data because systems do not connect

Documents arrive through Viber, email, or paper. Staff type the details into a spreadsheet, then enter them again in SAP or another ERP.

Operations automation
Our approach

We use different technology for different jobs.

Software and data engineering

Connect existing systems, structure messy inputs, automate recurring steps, and add checks that run the same way every time.

Forecasting and machine learning

Forecast demand, detect patterns, flag unusual cases, or improve a decision when historical data is available for testing.

AI for search and document work

Search approved sources, read different document formats, investigate discrepancies, and let staff ask questions in ordinary language.

Human review and approval

We keep people in charge of the decisions that require approval. Confirmed choices can be saved for the next time the same case appears.

Selected results

A few results from our work.

65% lower

product-level forecast error

Forecast error fell from 57% to 20% across more than 7,200 products.

4 weeks → 3 days

for a monthly reconciliation

Staff now finish the full monthly report in three days instead of spending most of the month on it.

99%

of customer records matched

The system matched 99% automatically and sent the remaining records to staff for review.

FAQ

Frequently asked questions.

Where does ToolPlex currently operate?

Our current client work is centered in the Philippines. We can also support projects elsewhere.

Do you require companies to replace SAP, an ERP, or existing spreadsheets?

No. We usually begin by connecting the systems, databases, files, and processes already in place. We recommend replacement only when it is clearly simpler and less risky.

Can ToolPlex work with messy or incomplete business data?

Yes. Reviewing, cleaning, and reconciling data is often a large part of the project. We first determine which decisions the existing data can support and what information is missing.

Is every ToolPlex project an AI project?

No. Depending on the problem, a system may use integrations, business rules, statistical models, software, or large language models. ToolPlex's AI capabilities come standard with every subscription and can be used for approved search, document work, and questions across connected company data. We use AI where it helps rather than forcing it into every step.

What kinds of companies are a good fit for ToolPlex?

ToolPlex is best suited to established companies with recurring work that depends on several systems, spreadsheets, or large amounts of operational data. Our current work includes retail, distribution, and consumer goods.
